The GST billing software features that matter most for a small business in India are: invoices that contain every field GST rules require, correct tax calculation (CGST and SGST or IGST) based on place of supply, product masters with HSN or SAC codes and rates you can update easily, clean data for your GST returns, credit and debit notes, and simple tracking of who owes you money. Everything else is useful only if it fits how you work.

This guide is for shop owners, traders, small manufacturers and service businesses choosing their first billing software or replacing one that frustrates them. GST rules change from time to time, so always confirm current requirements with your accountant or the official GST portal.

1. Invoices that meet GST requirements

A tax invoice must carry specific details. Your software should fill them in automatically, so you do not have to remember them.

  • Your name, address and GSTIN.
  • A unique, consecutive invoice number for the financial year.
  • Invoice date.
  • Customer name, address and GSTIN for B2B sales.
  • Place of supply, which decides whether CGST and SGST or IGST applies.
  • HSN code for goods or SAC code for services.
  • Description, quantity, unit, value, discount, taxable value, rate and tax amount.
  • Whether tax is payable on reverse charge, where relevant.
  • Signature or digital signature.

Composition dealers issue a bill of supply instead of a tax invoice, so if you are on the composition scheme, make sure the software supports it.

2. Correct tax calculation

  • Automatic choice of CGST plus SGST for supplies within your state, and IGST for supplies to other states.
  • Support for every rate you use, including nil-rated and exempt items.
  • Prices entered inclusive or exclusive of tax, with correct rounding.
  • An easy way to update rates. GST rates were restructured in September 2025, and rates can change again; you should be able to update a product's rate in one place without editing old invoices.

3. Product and customer masters

  • Products with HSN or SAC code, unit, tax rate, sale price and optional purchase price.
  • Customers and suppliers with GSTIN, state, address and contact numbers. GSTIN validation catches typing mistakes.
  • Bulk import from Excel, so you do not type hundreds of items by hand.
  • Barcode support if you run a retail counter.

4. Data that makes returns easier

Billing software does not file returns for you by default, but it should give your accountant clean data.

  • Sales summaries grouped the way GSTR-1 needs them: B2B invoice-wise, B2C summaries, credit and debit notes, HSN-wise summary.
  • Purchase records with supplier GSTIN, to compare against the input tax credit shown on the portal.
  • Export to Excel or JSON in formats your accountant or the GST offline tools can use.
  • Period locking, so invoices in a filed month cannot be changed by accident.

5. Credit notes, debit notes and returns

  • Credit notes for sales returns and post-sale discounts, linked to the original invoice.
  • Debit notes for price increases or extra charges.
  • Sales returns that update stock automatically if you track inventory.

6. E-invoicing and e-way bills when you need them

E-invoicing (generating an IRN and QR code through the invoice registration portal) is mandatory for B2B invoices once your aggregate annual turnover crosses the threshold set by the government, currently ₹5 crore. E-way bills are required for many movements of goods above the value limit set under GST rules. Even if you are below these limits today, choose software that can support them, or can export data for them, so you do not need to switch systems as you grow.

7. Payments and outstanding tracking

  • Record full and part payments against invoices, with mode (cash, UPI, bank transfer, cheque).
  • A UPI QR code printed on the invoice so customers can pay on the spot.
  • Customer-wise outstanding and ageing reports.
  • Payment reminders by WhatsApp, SMS or email.

8. Usability that saves time every day

  • A billing screen fast enough for a busy counter, with keyboard shortcuts.
  • Clear print designs for A4, A5 and thermal printers.
  • Sharing invoices as PDF links on WhatsApp.
  • Works on mobile for owners who bill or check reports on the go.
  • Separate user logins for staff, with permissions.

9. Stock, if you sell goods

If you sell physical products, basic stock tracking prevents surprises.

  • Stock reduced on sale and increased on purchase automatically.
  • Low-stock alerts.
  • Branch-wise stock for more than one location.

Businesses with heavier inventory needs, such as POS counters, multiple warehouses, batches or labels, are often better served by a separate inventory system connected to the billing software.

10. Data safety and exit options

  • Automatic backups.
  • Full export of invoices, customers and products to Excel.
  • Clear information on where your data is stored and who can access it.

Can it support e-invoicing and e-way bills?Avoids switching software as you grow
Can I export everything to Excel? You are never locked in

  • Make sure GST rates are easy to update without touching old invoices.
  • Look for return-ready summaries, not just invoice printing.
  • Choose software that can grow into e-invoicing and e-way bills.

Frequently asked questions

Is free GST billing software good enough?

For a very small business with simple sales, a free tool can work. Check that it produces complete GST invoices, lets you export your data, and does not limit invoices or users in ways you will soon outgrow.

Does GST billing software file my returns automatically?

Some do through GST Suvidha Providers, many do not. Most small businesses use billing software to produce clean return data, and their accountant files the returns on the portal.

Do I need e-invoicing?

Only if your aggregate annual turnover is above the current threshold (₹5 crore at the time of writing) and you make B2B supplies. Check the current limit with your accountant, as it has been lowered in stages.

Can I change an invoice after it is issued?

You should not edit an invoice after it has been reported in a return. Issue a credit or debit note instead. Good software locks filed periods to prevent accidental changes.
